About EIG
EIG is developing a lean shared-services platform supporting its businesses and projects in development advisory, enterprise development, renewable energy and related commercial activities. The appointment must strengthen delivery and institutional resilience without duplicating existing specialist roles.
The opportunity
Run a dependable CEO office: manage the diary, inbox, travel, meetings, documents and authorised personal administration while converting priorities and decisions into timely, well-prepared follow-through.
Core responsibilities
- Protect the CEO’s time: Manage the diary, prioritise commitments and resolve conflicts while preserving preparation time, travel buffers and personal commitments. Limit interruptions without blocking legitimate escalation.
- Manage correspondence: Triage authorised inboxes, draft responses and track follow-ups. Send communications and make commitments only within delegated authority.
- Coordinate travel and administration: Personally manage itineraries, bookings, logistics, documents, expenses and authorised personal tasks. Obtain spending approvals and keep business and private records separate.
- Prepare the CEO for engagements: Provide concise briefs, agendas and supporting documents highlighting decisions, risks and preparation needs. Confirm logistical readiness.
- Drive follow-through: Record decisions, owners and deadlines; track actions, follow up consistently and escalate delays. Verify completion before closing tasks.
- Coordinate stakeholders and Board support: Liaise professionally with partners, clients, directors and management. Organise meeting materials without assuming executive or statutory secretarial authority.
- Protect confidentiality and continuity: Maintain secure records, approved access arrangements and backup coverage. Keep the CEO office functional during travel or absence.
- Reduce routine CEO workload: Anticipate needs, resolve administrative problems and personally execute assigned work. Escalate material issues with clear options and recommendations.
Essential capability and relevant experience
- At least six years of relevant experience in executive assistance, CEO-office management, strategic coordination, consulting or programme operations, including demonstrable direct support to a senior executive.
- A relevant degree or an equivalent professional pathway supported by strong practical evidence. A master's degree and a previous Chief of Staff title are not mandatory.
- Hands-on competence with complex calendars, inbox triage, meeting preparation, professional correspondence, travel coordination and document/expense follow-through.
- Excellent writing, synthesis, discretion and prioritisation. Able to challenge respectfully, follow up with senior colleagues and separate delegated action from reserved decisions.
- Strong digital productivity skills and safe use of shared calendars, permissions, meeting tools and document repositories. Accuracy matters more than the number of tools used.
- Willingness to undertake both strategic coordination and practical assistant tasks within agreed working arrangements, authority, privacy safeguards and role boundaries.
What success will look like
Within 30 days, the CEO should have a dependable diary, brief, action register and correspondence workflow. By month six, target a 40% reduction in CEO time spent on routine administration and coordination, without missed material commitments or an always-on assistant arrangement.
